Instructions for PhD Awardees and Gold Medalists (Convocation)

1.          PhD Awardees and Gold Medalists must report at the Spot Registration Desk located at the Gurudev Kalicharan Brahma Building.

2.     All awardees and Gold Medalists are requested to enter the Jwhwlao Nileswar Brahma Auditorium Hall on or before 9:00 AM. No entry shall be permitted after 9:00 AM due to security concerns.

3.         Candidates must submit the following documents at the time of reporting for convocation. 

            a.      Printout of the online-generated application form

            b.      Proof of payment / fee receipt

            c.      Valid identity proof (Aadhaar Card / Voter ID / Passport / Driving Licence)

4.     Only PhD Awardees and Gold Medalists are permitted to proceed to the Convocation venue after registration. (Dias to receive the degree)

5.         Candidates are advised to strictly adhere to the reporting time and instructions to avoid inconvenience or denial of participation.

·       Last Date for Online Application: 20 October 2026 (up to 11:00 PM)

GENERAL INSTRUCTIONS

1.     Fill the online Convocation Application Form carefully.

2.     Enrollment No./Roll Number must be entered exactly as mentioned on the Provisional Certificate/Final marksheet, without any spaces.

3.     If an applicant (especially applying in-person) enters an incorrect Enrollment/Roll Number, the Convocation Pass will NOT be generated.

4.     Application fee once paid is non-refundable under any circumstances.

5.     Application fee must be paid through the payment gateway integrated in samarth portal at the time of online application submisssion selecting either:

FEE DETAILS

·       In-person mode: ₹2000

·       In-absentia: ₹800

DEGREE DISTRIBUTION DETAILS

S   Students must bring a printout of the online-generated application form, Original Valid identity proof (Aadhaar Card / Voter ID / Passport / Driving Licence), and a fee payment receipt on the day of convocation for verification for receiving the degree at the certificate distribution point. 

1.      Degree certificates for UG/PG programmes will be distributed to candidates of the in-person category in front of the Administrative Building just after convocation on the same day.

2.      In-absentia candidates will have to collect the degree certificate after 5 days of convocation from the CoE office.  Candidates must submit a downloaded application form to receive the certificate.

3.      Only the following candidates are permitted to receive degrees in person at the dias of the convocation programmee:

·       Gold Medal recipients

·       Ph.D. awardees

4.      If these candidates are absent, degrees and Gold Medals will be distributed after the convocation.

CONVOCATION DRESS

Gowns will be distributed 3 days before the convocation, in front of the BU Library.

DOCUMENTS REQUIRED BEFORE FILLING THE ONLINE APPLICATION

 INSTRUCTIONS FOR ONLINE APPLICATION SUBMISSION

1.     Visit the official convocation registration portal. https://buniv.samarth.edu.in/convocation/

2.     Enter personal and academic details accurately.

3.     Ensure Roll Number matches the Provisional Certificate.

4.     Upload all required documents in the prescribed format and size.

5.     Submit the application and save/print the confirmation for future reference.

6.     Regularly check the Portal for further Information

IMPORTANT NOTES

·       Incorrect details or document uploads may lead to rejection of the application.

·       Convocation/Degree fee will not be refunded under any circumstances.

·       Applications submitted after 20 October 2026, 11:00 PM will not be accepted.
